Here is your Step-by-Step Guide to Run a JVA Insured Beach Event

Begin with Step #1 and if you have any questions along the way please contact us.

Step #1: Membership

Join the JVA! The club running the event is the only one that has to be a JVA Member.

Become a Member

Step #2: Insurance

This needs to be purchased at least two weeks in advance. Any requests within two weeks will have a $50 fee.

Click HERE and select tournament Insurance.
You are now in the SportsEngine platform.

1. Returning user? Login!
2. New user? Create a free login and password with SportsEngine.

- You will be directed to the Tournament Insurance form.
- Complete the form answering ALL questions with as much information as needed.
- Once you click submit, you will directed to the Product Store.
- Complete your purchase immediately*. You will NOT receive your Certificate of Insurance unless you have paid!
- Certificate of Insurance will be sent within 3 business days.

NOTE: Tournament Insurance does NOT need to be purchased for JVA Insured teams. JVA insured teams will need to be rebated the portion of the entry fee that covers the cost of the insurance. Also, JVA Tournament/League insurance allows teams of any national affiliation (USAV, AAU, or non-affiliated) to participate in your events.

Step #3: Background Screening & APS

All adults listed on rosters at JVA insured events must complete the Background Screen and APS training. JVA does recognize AAU background screens.

Step #4: Get Paperwork Organized

Send the following link to your participating clubs for players and staff to complete prior to the event.
- JVA Insurance Waiver

JVA Coaches Event Sign-In Form needs to be turned in by all teams at check in.
Scoresheets for the Event – see below for all score sheets you will need.

Step #5: Injury

Make sure you are prepared.

When an injury occurs, make sure to write up an Incident Report.
Please send injury reports to the JVA at members@jvavolleyball.org
If a claim needs to be made, contact the JVA in order to receive the claim form.

Give Your Tournaments More Visibility

JVA member clubs can post your beach events on the JVA Tournament Listing for the corresponding event type: One Day, Multi-Day or Beach Event.

AES WEB BASED TOURNAMENT REGISTRATION & RESULTS MANAGEMENT SYSTEM

If you are hosting a 1 day event and have not used AES in the past, JVA will provide free team registration to use AES Registration/Event Management. If you are hosting multi-day events or have used AES in the past, AES offers the same tournament registration and results management system for only $2.50/per accepted team and results management at $10/per team. In order to help with seeding and ranking of all events, we recommend you use the AES scheduling software for your event. If you are interested in having your event results flow directly into the ranking engine for 1 day events, AES’ scheduling software and solution is discounted for 1 day events, contact AES for more information.
